Press Conference Room Reservation Guide

Press conference rooms of World Expo 2010 Shanghai China (referred to as “press conference rooms” hereinafter) are important venues for releasing information during the operation of the Expo. The press conference rooms are offered to the BIE, the Expo Organizer, Participants and Sponsors of Expo 2010, who will be entitled to use the press conference rooms by reservation.
I. Overview
The Organizer of Expo 2010 has set up three press conference rooms in different sizes: two in the Main Press Center of the Expo site (inside the Expo Center), and one in the Media Accreditation Center of the Expo Administration Area.
Press Conference Room A (200 seats): Located in the Main Press Center, Floor B1 of the Expo Center, the Press Conference Room A is equipped with simultaneous interpretation and telecast systems, which are ideal for all types of press conferences.
Press Conference Room B (100 seats): Located in the Main Press Center, Floor B1 of the Expo Center (adjacent to Press Conference Room A), the Press Conference Room B only offers consecutive interpretation services without simultaneous interpretation and telecast systems, thus only for themed\ press conferences.
Press Conference Room C (600 seats): Located on the Second Floor of the Media Accreditation Center in the Expo Administration Area, (3588 Pudong Road (S)), Press Conference Room C is equipped with a simultaneous interpretation system but no telecast system available, which is ideal for all types of press conferences.
II. Facilities
Backdrop: identical backdrops are used for all three press conference rooms, and cannot be changed in principle. If there are any special needs, upon consultation with the Press Center, may set up additional installations such as X stands and foldable banners within the designated areas of the press conference rooms. Advertisements in all forms are strictly prohibited.
Stage: each press conference room provides multi-person (up to 5 persons) head tables, chairs, microphones, simultaneous interpretation headsets and standard lighting configuration for telecast.
Projection: a projector and a screen are available on one side of the stage.
Audio devices: amplifiers and high-performance audio splitters are available for on-site recording.
Power supply: 220V plug (up to Chinese standard).
Working platforms for photographers: a raised platform is available at the back of each press conference room for photographers and TV crews.
Simultaneous interpretation systems: simultaneous interpretation booths are installed in Press Conference Rooms A and C. Headsets are available for accredited attendees. The related equipments are provided by the organizer freely.
Microphones: sufficient cordless microphones will be provided for each press conference for journalists to raise questions.

The Press Conference Services Team of the Media Center provides services for press conference room reservation and on-site coordination.
1. Reservation service
Timetable
The press conference rooms will be open from Monday to Sunday, and each press conference room can be used during two time slots per day:
Press Conference Room A: 10:00am –11:00am & 2:00pm - 3:00 pm;
Press Conference Room B: 9:30 am –10:30 am & 1:30 pm –2:30 pm;
Press Conference Room C: 10:00 am - 11:00 am & 2:00 pm - 3:00 pm.
Reservations
A reservation in advance is essential to hold press conference by official participants during the operation of the Shanghai Expo.
To book a press conference room, press conference organizers needs to fill out the Press Conference Room Reservation Form (see the attachment or download the Form from www.expo2010.cn, the official website of the Shanghai Expo.), have it endorsed and signed by the commissioner general or his/her authorized representative, fax the completed Form to 86-21-22060645 and email the digital file of the Form to press_conf@expo2010.gov.cn at least 10 working days before the press conference meeting. The Press Center will reply within 5-10 working days from reception of the Form.
The press conference rooms are open for reservation since April 1, 2010.
The press conference rooms are used free of charge in principle.
Arrangement guidelines
Due to limited resources, priorities will be given to press conferences for National Pavilion Days and Honor Days of International Organizations on a “first-come, first-serve” basis. In case of schedule crashes, arrangements will be made according in the following order of precedence:
1) BIE and the Organizer of Expo 2010
2) Official Participants
3) Non-official Participants
4) Sponsors (all press conferences for Expo Sponsors will be held at Press Conference Room C, and the topics should be directly relevant to the theme of Expo 2010)
2. Other services
A. Interpretation service
During the operation of Shanghai Expo, the Press Center will provide one consecutive interpretation (Chinese<>English) service for free to each official Participant; if the Participants request multi-language interpretation or interpretation for more than one press conference, they should hire interpreters by themselves or apply for paid interpretation services offered by the Press Center.
B. Telecast
Requests to hold a press conference telecast should be indicated in the Press Conference Reservation Room Form, and the organizer of the press conference should bear all costs incurred. The Press Center will recommend telecast service suppliers.
Information release
The Press Center will publish information about press conferences on its bulletin boards, the official website of Expo 2010 and E-News Center 2 days prior to the press conference, for media organizations’ information and attendance.
Admission
The Press Center will provide assistance for issuing temporary passes to the Main Press Center for VIPs attending press conferences.
VIP reception
Each press conference room has an adjacent VIP lounge, where VIP reception services will be provided.
